Secretary and Alt Secretary
The Secretary position for GMTANA is essentially the record keeper, organizer, and communication coordinator for the Area Service Committee. The role focuses on maintaining accurate information, preserving continuity, and ensuring that members stay informed and organized. Clean time requirement for this position is 2 years.
Core Purpose
The Secretary helps keep the Area functioning smoothly by maintaining records, distributing information, tracking participation, and preserving the official history and documents of the service body.
What the Secretary Actually Does
Maintains Accurate Records
One of the primary responsibilities is documenting the business of the Area:
- Recording accurate meeting minutes
- Tracking motions, votes, and decisions
- Maintaining official files and archives
- Keeping guidelines and amendments updated
This ensures that important information is preserved and accessible for the Area.
Manages Communication
The Secretary is responsible for making sure information reaches trusted servants and participants in a timely manner by:
- Distributing Area and Regional minutes
- Notifying members about special meetings
- Maintaining updated contact and membership records
- Providing forms and documentation needed during meetings
Supports Meeting Operations
The role also helps ensure meetings are properly organized by:
- Tracking attendance
- Maintaining voting eligibility records
- Assisting with quorum verification
- Preparing ballots and election records
Preserves Continuity
The Secretary maintains the records and history that allow the Area to operate consistently over time. This includes:
- Maintaining archives
- Recording amendments and procedural changes

Provides Service Support and Stability
The Secretary is expected to be dependable and prepared to support the Area wherever needed, including temporarily assuming meeting responsibilities in the absence of other trusted servants until appropriate arrangements can be made.
